How to Switch WhatsApp CRM Providers Without Losing Data or Downtime

Most businesses stay on a WhatsApp platform they have outgrown because they believe switching means losing their number, their templates and their chat history. In practice the number moves, most of the assets move, and the downtime can be under an hour if the sequence is right.

Here is what actually happens during a migration, what you genuinely lose, and how to plan it.

First, understand what you actually own

This is the part almost nobody is told clearly:

The critical row is the WABA. If your provider created the WABA inside their own Business Manager rather than yours, migration is harder and you may be asked to pay to be released. Check this before anything else: open business.facebook.com, go to WhatsApp Accounts, and confirm your WABA is listed under your own business.

The four real reasons businesses switch

  • Per-conversation markup. Meta charges a conversation rate; some resellers add a significant margin on top plus a per-user fee. Over a year this is often the entire cost of the switch.
  • Missing capability. No proper flow builder, no team inbox, no API access for your own developers.
  • Support. A restricted number with no one answering is the most common trigger of all.
  • Scale. Per-agent pricing that made sense with 3 agents becomes painful at 15.

The migration sequence

  1. Confirm WABA ownership in your own Meta Business Manager. Fix this first if it is wrong; everything else depends on it.
  2. Export everything from the current platform. Contacts with tags and custom fields, template list with exact names and languages, chat history, and any reports you will want later. Do this while your account is still active — access often ends the day you cancel.
  3. Set up the new platform in parallel. Create the account, rebuild the flows, import contacts, and re-create templates. Nothing is live yet.
  4. Get templates ready. If templates carry over with the WABA, verify names and languages match your new automations exactly. If any must be resubmitted, do it now — approval usually takes minutes to a few hours, but plan for a day.
  5. Pick a low-traffic window. For most Indian businesses that is a Sunday morning or late evening.
  6. Move the number. The number is disconnected from the old provider and connected to the new one. Actual downtime is typically 15 to 60 minutes.
  7. Verify before announcing. Send a test message in both directions, confirm the webhook is receiving, check that automations fire and that agents can reply.
  8. Keep the old account for 30 days in read-only mode if the contract allows, so you can retrieve anything you forgot.

What you will genuinely lose

Be prepared for three things:

  • Live chat history. Most platforms can export it, but importing full conversation history into a new system is rarely supported. Keep the export.
  • Chatbot flows. Every platform stores flows in its own format. Budget half a day to a week to rebuild, depending on complexity. This is a good opportunity to delete the branches nobody uses.
  • Reporting continuity. Historical analytics stay behind. Export the reports you need for comparison before you go.

Five mistakes that cause real downtime

  1. Cancelling the old subscription before the new setup is tested. Never do this — overlap by one billing cycle.
  2. Migrating during a campaign or a festival sale week.
  3. Discovering on migration day that the WABA sits in the vendor's Business Manager.
  4. Forgetting the webhook URL, so incoming messages arrive with nothing listening.
  5. Not telling the sales team, so nobody is watching the new inbox on day one.

Questions to ask any new provider before you commit

  • Will the WABA be created in my own Meta Business Manager?
  • Do I pay Meta's conversation rate directly, or is there a markup on top?
  • Is pricing per agent, per contact, per conversation, or flat?
  • Can I export my contacts and chat history at any time, without asking support?
  • What happens to my number and data if I leave?

The last question is the one that reveals the most. A provider who cannot answer it plainly is telling you something.
