Changing or Migrating Your WhatsApp Business Number: A Safe Checklist

Sooner or later a business has to move its WhatsApp number — the number sat on a manager's personal phone, the company changed its landline provider, two offices are being merged, or a shared number needs to become an API number so a team can use it. Done in the right order, this is a half-day job with no downtime. Done casually, it can cost you your green tick, your message history and a day of unreachable customers.

This guide covers the four situations businesses actually face and the checks that matter in each.

First, identify which move you are making

  • WhatsApp Business app to the API, same number. Most common. You keep the number; it stops working in the app and starts working through your platform.
  • Old API number to a new API number. A second number is registered and the old one retired or kept as a second line.
  • Moving your number between providers. The number and its WhatsApp Business Account stay; only the software connected to it changes. Covered separately in our guide to switching WhatsApp CRM providers.
  • A personal number becoming a business number. Possible, but think twice: chat history from personal WhatsApp does not come across, and you are handing a number you may want back to a business system.

What carries over — and what does not

Set expectations before you begin, because two of these surprise people every time.

  • Chat history does not migrate when a number moves from the WhatsApp Business app to the API. The conversations remain on the phone; they do not appear in your new team inbox. Export what matters first.
  • Your display name usually survives a number change within the same WhatsApp Business Account, but it goes through review again.
  • Green tick verification does not follow automatically. Official Business Account status is tied to the business and the number. Moving to a new number often means applying again — see our green tick guide. If you have a green tick today, treat keeping it as the main constraint on the whole plan.
  • Message templates belong to the WhatsApp Business Account, not the number, so within the same account they remain available. A new account means submitting them all again and waiting for approval.
  • Quality rating and messaging limits start fresh on a new number. A number that was sending to a large tier drops back to the starting tier and has to earn its way up.   • Customers' saved contacts do not update. Anyone who saved the old number keeps messaging it.

The safe order of operations

  1. Confirm you can receive an OTP on the number. Registration needs a one-time code by SMS or voice call. For a landline, choose voice verification and have someone physically at the phone. Ensure the SIM is active and not in a locked drawer in another city.
  2. Export what you need from the old number. Chat exports for important conversations, your contact list with opt-in status, and screenshots of your template list and business profile.
  3. Check for a green tick and template dependencies before touching anything. If you have verification and a live campaign running, schedule the move for a quiet window.
  4. Delete the number from the WhatsApp Business app only when you are ready. For an app-to-API migration, the number must be removed from the app before registration on the API, and there is a short window where it works on neither. Do it at night, not at 11am on a working day.
  5. Register on the API and complete business verification in Meta Business Manager if it is not already done.
  6. Re-create templates if the WhatsApp Business Account has changed, and wait for approval before announcing anything.
  7. Test end to end before telling anyone: send a template to two test numbers, reply from both, check that replies land in the inbox and that automations fire on the new number.

Keeping the old number useful

Do not simply switch the old number off. People will keep messaging it for months. Two options work well:

Keep it running with an auto-reply pointing to the new number, ideally with a click-to-chat link so a tap moves them across. Leave it up for at least three months; six is better if the number was printed on packaging or hoardings.

Keep it as a second line under the same WhatsApp Business Account. Most platforms support several numbers in one inbox, so old-number conversations stay visible to the same team. This is the cleaner option if there is no reason to retire the number entirely.

Updating everywhere the number appears

Make a list before the switch and work through it the same day, otherwise you will be finding stale numbers a year later:

  • Website chat widget, contact page, footer and any click-to-WhatsApp links
  • Google Business Profile, JustDial, IndiaMART and other directory listings
  • Click-to-WhatsApp ad campaigns in Meta Ads Manager — these break silently and keep spending
  • Email signatures, invoices, quotations and order confirmations
  • QR codes on packaging, menus, standees and visiting cards
  • Payment links, catalogues and any autoresponder mentioning the number

Click-to-WhatsApp ads deserve a second look. An ad pointing at a retired number spends budget on conversations that reach nobody, and it is the kind of error that runs for a fortnight before anyone notices.

Common mistakes

Deleting the app account before checking OTP access. If the SIM is inactive, you are now on neither the app nor the API.

Migrating during a campaign. A fresh number has a low messaging limit, so a broadcast that used to go out in one pass now throttles.

Assuming the green tick travels. Verify the position with your provider before the move rather than discovering it afterwards.

Forgetting opt-in. Consent belongs to your business, not the handset, so customers who opted in remain opted in — but their record must move with the right phone numbers and consent timestamps intact. How long it takes

With business verification already done and the same WhatsApp Business Account retained, the technical part takes an hour or two, mostly waiting for OTP and display-name review. A new account with fresh templates and business verification is realistically a week, most of it review time. Green tick, if you need it again, is longer and not guaranteed. Plan backwards from that, and never schedule a migration on the eve of a sale.

Frequently Asked Questions

Will I lose my chat history when moving from the WhatsApp Business app to the API?

Yes. Conversations stay on the phone and do not transfer to your API inbox. Export the chats you need before removing the number from the app, and keep the export somewhere your team can search.

Can I keep my green tick when I change my WhatsApp number?

Not automatically. Official Business Account status is tied to the business and the specific number, so a new number usually means applying again. Confirm the position with your provider before you start, especially if you rely on the tick.

How long is my number unreachable during migration?

Usually minutes to a couple of hours between removing it from the WhatsApp Business app and completing API registration. Schedule it outside business hours, and keep someone with the SIM available for the OTP.

Do my message templates need to be created again?

Only if the WhatsApp Business Account changes. Templates live at account level, so a new number under the same account keeps them. A brand-new account means resubmitting every template and waiting for approval.

What should I do with the old number after switching?

Either keep it live with an auto-reply pointing to the new number and a click-to-chat link, or add it as a second line in the same inbox. Keep it available for at least three months, longer if it appears on printed material.
