Three ways clients can book
A person replies from a shared inbox
The client asks for a time; a receptionist checks the diary and confirms. For a single-doctor clinic or a two-chair salon this is often the right answer, if someone replies within minutes.
A button-based chatbot
The client sends “Hi” and the bot asks for service, staff member, date and time with reply buttons and list menus. Because the client started the chat, it all runs inside the 24-hour customer service window and needs no template approval. A list menu holds up to 10 options, enough for one day’s slots.
A WhatsApp Flow
A Flow opens a form screen inside the chat with dropdowns and a date picker. It suits bookings with many fields, such as a coaching demo class that needs the student’s class, board and subject. Live free slots inside a Flow need a data endpoint built by a developer.
The reminder schedule
Any message sent more than 24 hours after the client last wrote to you must be a pre-approved template. Confirmations and reminders are usually approved as utility templates when they carry no offer. Add a discount line and Meta may classify the template as marketing, which costs more and needs promotional consent.

A 24-hour reminder can be this plain: Hi {{1}}, a reminder of your appointment with {{2}} tomorrow, {{3}}, at {{4}}. Address: {{5}}. Please tap Confirm, or choose Reschedule or Cancel. Specific, factual, no sales line.
Timing rules
- Skip what no longer applies. A booking made 90 minutes ahead gets the confirmation alone.
- Respect quiet hours. For a 7 am slot, send the final reminder around 8 pm the evening before, not at 5 am.
- Give home visits a window. For AC servicing or pest control, send a two-hour arrival window and the technician’s name.
- Use the client’s language. Templates can be approved in Hindi, Tamil, Bengali and other Indian languages.
- Keep sensitive details out. A clinic reminder needs date, time, doctor and address, never the test or condition; phones are shared and lock screens show previews.

Reschedule and cancel in the chat
Decide what each button does before you go live:
- Confirm marks the booking and tags the contact, so reception can see each morning who has not replied.
- Reschedule shows the next free slots, which needs live availability, or hands the chat to staff with the booking details visible.
- Cancel asks “Cancel your 4:30 pm appointment on Friday?” with Yes and No, so a mis-tap does not lose the slot, then frees it.
- Running late alerts the front desk to hold or reshuffle the slot.
Do not auto-cancel unconfirmed bookings; many people read the reminder and simply turn up. For long, high-value slots such as a bridal session or a root canal, phone them instead.
Staff calendar sync: the honest part
A WhatsApp bot does not know which slots are free. Your register, a Google Calendar per doctor or stylist, or your clinic or salon software does. The bot is only as good as its link to that record.

Two traps catch people. Service lengths vary: a haircut takes 30 minutes, a keratin treatment three hours, so a flat list of half-hour slots will double-book a stylist. - Honour opt-outs at once. Blocks and reports lower your quality rating and can get templates paused or the number restricted.

Cutting no-shows beyond reminders
Studies of SMS and phone reminders in healthcare generally find fewer missed appointments, but the effect varies widely by setting, so distrust anyone promising a fixed percentage. Reminders fix forgetting. They do not fix a client who never meant to come.
- Keep a waitlist. When someone cancels, message the clients who asked for an earlier slot; the first reply gets it.
