WhatsApp Payment Links and UPI in India

WhatsApp Payment Links in India: UPI, Receipts and Reminders
To collect a payment over WhatsApp in India, create a payment link in a gateway such as Razorpay or Cashfree, send it in the chat with the amount and invoice number written out, and let the gateway’s webhook confirm the payment and trigger a WhatsApp receipt. If the customer has not messaged you in the last 24 hours, the link, the reminder and the receipt must each go as an approved template. Sending the link is the easy part; knowing who has actually paid, without trusting screenshots, is the real work.
Gateway fees vary by plan and change often, so this guide does not quote them; check your gateway’s current pricing page.
Five ways to collect money in a WhatsApp chat
All five work from the free WhatsApp Business app too. What differs is how you learn that the money has arrived.
| Method | How the customer pays | How you know it is paid | Good fit | Watch out for |
|---|---|---|---|---|
| Static UPI ID or QR | Scans your QR or copies your UPI ID, then types the amount | You check your bank app by hand | Tutors, small shops, a few payments a day | Wrong amounts, no reference, edited “payment successful” screenshots |
| UPI deep link (upi://pay) | Taps a link that opens a UPI app, amount pre-filled | By hand, unless a gateway created it | Rarely the best choice on WhatsApp | Often not tappable inside WhatsApp; useless on a laptop; some apps warn on personal UPI IDs |
| Gateway payment link (Razorpay, Cashfree and others) | Opens an https page and pays by UPI, card, net banking or wallet | Gateway dashboard and webhook, automatically | Most businesses: services, invoices, D2C orders, fees | Gateway fees, link expiry, customers wary of links |
| Dynamic QR from a gateway | Scans a QR made for one order, with the amount fixed | Automatically, like a link | Counter payments, customers on a laptop | Hard to scan from the same phone the QR arrived on |
| Bank transfer (NEFT, RTGS, IMPS) | Adds you as a payee and transfers | Bank statement, matched by UTR number | B2B invoices, large amounts | Slow to confirm, manual matching |
If you take a few payments a week from people you know, a static UPI QR is fine. Move to gateway links when you start losing track of who has paid.
The WhatsApp Business Platform also supports in-chat checkout, where the customer pays through a UPI app or a supported gateway without leaving the chat. It needs gateway, Meta and developer setup, and the options change, so check current availability before planning around it.
Sending the link so people trust it
Payment-link fraud is common in India, so a bare link from an unfamiliar number looks like a scam. These habits remove most of the hesitation:
- Write the amount, purpose and invoice number in the message, matching what the payment page shows.
- Put your invoice or order number in the gateway’s reference or notes field. This one step makes reconciliation possible later.
- Set an expiry that matches the deal, so an old link is not paid twice or at an outdated price.
- Use a merchant UPI ID, not a personal one. Some UPI apps show warnings or limits on pre-filled payments to personal IDs.
- Tell customers, once and plainly, that you will never ask for their UPI PIN or an OTP. A PIN is needed to send money, never to receive it.
Inside the 24-hour window, reply with the link as a normal message. After it closes, use an approved template with a URL button: the fixed part of the address sits in the template and the unique part is filled in per message, so one approval covers every invoice.
Automatic WhatsApp receipts after payment
A WhatsApp receipt answers “did my payment go through?” before the customer asks. Send it from the gateway’s webhook, not from someone watching the dashboard: when a payment is captured, the gateway calls your system, which sends an approved receipt template to the payer.
A good receipt carries the customer’s name, amount, purpose, payment ID, date and a way to reach you. It is a confirmation, not a GST tax invoice, so registered businesses should send the invoice as well.
ZupiChat’s Razorpay integration works this way, filling the payer’s name, the amount and the Razorpay payment ID into your approved receipt template. Two limits apply to any such setup: the receipt goes to the phone number used at checkout, which may not be the one the customer chats from, and nothing is sent until the template is approved.
Receipts are textbook utility templates: transactional, with nothing promotional in them. As of 2026, Meta charges per delivered template by category (marketing, utility, authentication), and a utility template delivered while the customer’s 24-hour service window is open is not charged. Current rates are in our WhatsApp Cloud API pricing guide. Add a discount code to a receipt and Meta may treat it as marketing.
Payment reminders with approved templates
A reminder about an amount the customer already owes usually qualifies as utility; pitch anything new in it and it becomes marketing. Our utility messages guide covers what gets approved. A cadence that is firm without being rude:
- Three days before the due date: amount, due date, invoice number and link.
- On the due date: the same facts, plus “reply here if anything on the bill looks wrong”.
- Three to five days after: a polite note that the payment is pending, with the link again.
- After that: a call or a message from a person, not another template.
Two rules matter more than the wording. Stop reminders the moment the webhook marks the invoice paid; reminding someone who has paid burns goodwill. And keep threats out of it. People who feel harassed block and report, which lowers your number’s quality rating, and Meta can pause templates that draw negative feedback.
Advances, part payments and COD-to-prepaid nudges
Razorpay and Cashfree payment links can both be set to accept partial payments, with a minimum first instalment and the rest paid later through the same link. But one invoice with several payments is harder to track than it sounds. For a 30% advance and a balance on delivery, two separate links with their own references, such as INV-1042-A and INV-1042-B, are usually simpler for you and your accountant.
For online stores, a link sent right after a cash-on-delivery order is confirmed can move it to prepaid. Be realistic: many buyers pick COD because they do not yet trust you, so offer it once and keep it optional. A prepaid discount will most likely make the template marketing. If someone pays, switch the order to prepaid in your store and courier panel, or the delivery agent may still collect cash. Confirming COD orders is covered in our guide to reducing COD returns with WhatsApp confirmation.
Reconciling WhatsApp payments
Reconciliation means matching three records: the invoice or order in your books, the payment in the gateway, and the settlement in your bank. Gateway links make the first two easy, because the reference you added travels with the payment. The third needs the gateway’s settlement report, since money arrives in batches, minus the gateway’s fees and the GST on those fees. Most accountants book the gross sale and the fee separately, using the gateway’s monthly invoice.
Direct UPI and bank transfers are the painful part. With no reference, you match by amount, time and payer name on a statement. Ask customers to put the invoice number in the UPI remark, and note the UTR number of every bank transfer.
A short daily routine prevents most month-end mess: check yesterday’s captured payments against open invoices, follow up anything failed or pending, and issue refunds through the gateway so they carry the original payment ID.
Do you need a WhatsApp CRM for this?
Not always. If one person handles payments and you send a handful of links a day, the free WhatsApp Business app and your gateway dashboard are enough. You need the WhatsApp Business Platform and a CRM on top when several people share the payment conversations, when receipts and reminders should go out without anyone pressing send, or when tags such as due, part-paid and paid should decide who gets which message. That is the work ZupiChat does, with a shared team inbox, approved-template broadcasts, contact tags and segments, and a public developer API with webhooks. Plans are on the pricing page.
Checklist before your first WhatsApp payment link
- Gateway account with KYC complete, or a merchant UPI ID from your bank
- Invoice or order number in every link’s reference field
- Link expiry set to match the invoice or offer terms
- Message text showing amount, purpose, invoice number and business name
- Three templates approved before launch: payment request, reminder and receipt
- Customer opt-in for WhatsApp messages recorded
- Webhook connected, so paid status never depends on a screenshot
- Reminders set to stop automatically once an invoice is paid
- Proper GST invoice sent alongside the receipt, if you are registered
- Refund process written down, including who approves refunds
- One named owner for the daily reconciliation
The short version
- Use gateway payment links once you take more than a few payments a day; a static UPI QR is fine below that.
- Put the invoice number in every link and let the webhook, not a screenshot, mark the payment as paid.
- Send receipts and reminders as factual utility templates, and stop reminders the moment someone pays.
- Reconcile daily against the gateway’s settlement report, and read fees on your gateway’s own pricing page.
Frequently Asked Questions
Can I send a payment link on WhatsApp without the WhatsApp Business API?
Yes. A payment link is only a web address, so you can paste a Razorpay or Cashfree link into a chat from the free WhatsApp Business app. What the app cannot do is send approved templates in bulk, trigger receipts automatically when a payment lands, or let several staff members work the same number. For a handful of payments a day, the free app and your gateway’s dashboard are enough.
Is it safe to accept payment through a UPI QR code sent on WhatsApp?
It is safe as long as you confirm each payment in your bank or UPI app instead of trusting a screenshot, because edited “payment successful” images are a common trick. The weaknesses are practical: customers type the amount themselves, there is no invoice reference, and a QR is awkward to scan from the same phone it arrived on. Use a merchant UPI ID, and move to gateway links as volume grows.
Which WhatsApp template category should a payment reminder use?
A reminder about a specific amount a customer already owes, with the due date and invoice number, normally fits the utility category. If it also promotes an offer, a new product or a discount for paying early, Meta will likely treat it as marketing, which is priced higher. Meta decides the category when it reviews the template and can change it later, so keep reminders factual and send promotions separately.
How do automatic WhatsApp receipts work with Razorpay?
You add a webhook in your Razorpay dashboard that points to your WhatsApp system. When Razorpay captures a payment, it sends the event; your system checks the signature to confirm it really came from Razorpay, finds the payer’s phone number and sends an approved receipt template. ZupiChat has this built in for Razorpay. Whatever tool you use, get the receipt template approved first and run a test payment before going live.
Do I still need a GST invoice if I send a WhatsApp receipt?
If your business is GST-registered, generally yes. A WhatsApp receipt confirms that money arrived; it is not a tax invoice unless it carries everything the GST rules require, such as your GSTIN, an invoice number and the tax breakup. Most businesses send the receipt on WhatsApp and share the proper invoice from their billing software. Invoicing and e-invoicing rules change, so as of 2026, confirm your exact requirements with your CA.
