WhatsApp Business Account Banned? What to Do Next

WhatsApp Business Account Banned or Restricted: What to Do Next
If WhatsApp has banned or restricted your business number, first work out which of three things has happened: a ban on a WhatsApp or WhatsApp Business app number, a restriction or disabled account on the WhatsApp Business Platform (API), or simply a low quality rating that has limited your sending. Each has a different appeal route. Appeal once, clearly and honestly, through the official route, and use the waiting time to fix whatever caused it, because the same behaviour on a new number usually gets the same result.
This guide covers the causes we see most often in India, how to appeal on the app and on the API, and the sending habits that keep a number safe long term.
Which situation are you in?
| What you see | What it usually means | Where to act |
|---|---|---|
| App says "This account is not allowed to use WhatsApp" or "banned" | Number banned on the WhatsApp or WhatsApp Business app | Request a review inside the app |
| App says the account is temporarily banned, with a countdown | Short restriction, often for using an unofficial or modified app | Stop using the unofficial app; wait for the timer |
| Meta Business Suite or WhatsApp Manager shows the account as restricted or disabled | Enforcement on your WhatsApp Business Platform account | Account quality page in Meta Business Suite |
| Quality rating shows Medium or Low; templates paused | Recipients are blocking or reporting your messages | Change who you message and what you send |
| Messages fail with an error, account looks normal | Often a technical issue: payment method, token, template status | Check your provider logs first |
The last row matters because many "we got banned" alarms turn out to be an expired access token or an unpaid Meta invoice. Our list of common WhatsApp API errors helps separate the two.
Why business numbers get banned
- Bulk messaging from a normal account. Sending hundreds of messages a day from the app, especially through a "bulk sender" extension or a modified app, is the single most common cause in India.
- Messaging people who did not ask. Bought databases, scraped numbers and "all contacts in my phone" lists produce blocks and reports, and those are the signals WhatsApp acts on.
- Many new chats in a short time. A fresh number that suddenly messages hundreds of strangers looks like spam, whatever the content.
- Restricted products or services. WhatsApp's Commerce and Business policies restrict certain categories. Check the current policy for your category before you promote on WhatsApp.
- Misleading content. Fake urgency, impersonating another brand or links to suspicious pages get reported fast.
- Adding people to groups without consent. Mass-adding strangers to groups is a well-known ban trigger.
How to appeal a ban on the WhatsApp Business app
- Open WhatsApp on the banned number. When it shows the ban message, tap the option to request a review. The wording changes between versions, but it's on that screen.
- Explain in plain words, in a few lines: what your business is, how the customers you message got your number, and what you were sending. If you used a bulk tool, say you have stopped. Honest appeals do better than denials.
- Submit once. Do not reinstall repeatedly or register the number on another phone to "reset" it.
- Wait for the reply in the app. If the ban is lifted, change the behaviour that caused it before you message anyone.
A sample appeal: "We are [Business], a [type] business in [city]. We use this number to reply to customers who contact us and to send order updates. We recently sent a promotional message to a list of past customers from a bulk tool; we have stopped using that tool and will only reply to customers who message us. Please review the account."
If the review upholds the ban, it is usually final for that number. Don't try to get around it with a stream of new SIMs; that repeats the pattern and puts each new number at risk too.
How to handle a restriction on the WhatsApp Business Platform
On the API, enforcement is visible in Meta Business Suite. Look at the account quality or business support section for your business portfolio; it lists restricted assets, the policy involved, and whether a review can be requested.
- Find the exact asset. The restriction may be on the WhatsApp Business Account, on one phone number, or on the whole business portfolio. Your provider can see some of this but not always the reason.
- Read the policy reason. It points to the problem: commerce policy, spam, a disallowed category.
- Request a review where the option exists. Describe your business, how opt-in is collected, and what you have changed. Screenshots of your opt-in form or checkout checkbox help.
- Fix the underlying issue before the review completes. Pause campaigns, clean the list, remove content in a restricted category.
- Tell your provider. A WhatsApp CRM provider cannot overturn Meta's decision, but can confirm what they see and stop scheduled broadcasts that would make things worse.
Low quality rating: the warning before the trouble
Every number on the WhatsApp Business Platform has a quality rating based on how people reacted to your recent messages, especially blocks and reports. A Medium or Low rating is a warning. If it stays low, Meta may pause templates that are being reported and your ability to reach more people can be limited.
How to recover:
- Stop broadcasting to anyone who has not engaged with you recently.
- Pause or rewrite the template that caused the drop. The template quality indicator in WhatsApp Manager usually shows which one.
- Send fewer marketing messages and make each one clearly relevant: back-in-stock for something they viewed beats a generic sale blast.
- Add an easy opt-out, such as a "Stop promotions" button, so annoyed people unsubscribe instead of blocking.
Our explainer on WhatsApp broadcast messaging covers how to segment so each campaign reaches fewer, warmer people.
How to keep a business number safe
- Collect opt-in properly. A checkbox at checkout, a click-to-WhatsApp ad, or a customer messaging you first. Keep a record of how each contact opted in. See how to build a WhatsApp opt-in list.
- Use the right tool for volume. The WhatsApp Business app is for one-to-one chats. Anything that looks like a campaign belongs on the WhatsApp Business Platform.
- Warm up new numbers. Start with customers who already know you and increase volume gradually.
- Separate transactional and promotional. Order updates people want; daily offers they don't. Mixing the two on the same template damages both.
- Watch the numbers weekly. Quality rating, block rate on campaigns, and reply rate. A falling reply rate is usually the first sign of trouble.
- Respect the law too. India's DPDP Act also applies to how you collect and use customers' numbers; our DPDP and WhatsApp compliance guide covers the basics. Confirm specifics with a lawyer.
If you need a new number
If a ban is final, a new number is the practical way forward, but only after you change what caused the ban. Register it on the WhatsApp Business Platform, verify your business in Meta Business Suite, and restart with customers who have clearly opted in. Tell existing customers about the new number through your website, invoices, Google Business Profile and email, not through a mass message from the new number. If you are also changing CRM provider at the same time, our guide to switching WhatsApp CRM providers covers the order of steps.
The short version
- Identify whether it's an app ban, an API restriction or a low quality rating; each has a different fix.
- Appeal once, honestly, through the official route, and fix the cause while you wait.
- Bulk tools on normal accounts and unsolicited messages cause most bans.
- Opt-in, relevance and the official API keep numbers healthy for years.
Frequently Asked Questions
How long does a WhatsApp ban review take?
There is no published timeline. Reviews of app bans are often answered within a day or two, but some take longer, and API-side reviews in Meta Business Suite can take several days. Submit one clear appeal and wait; repeated submissions do not speed it up and may be ignored.
Can I get my number back after a permanent ban?
Sometimes, if the review finds the ban was a mistake, but a ban upheld after review is usually final for that number on WhatsApp. At that point the realistic path is a new number, a change in how you message, and moving to the official WhatsApp Business Platform with opted-in contacts.
Do bulk sender tools and modified WhatsApp apps cause bans?
They are one of the most common causes. Unofficial apps and browser-automation tools that blast messages from a normal WhatsApp or WhatsApp Business app account break WhatsApp's terms, and the number can be banned without warning. Only the official WhatsApp Business Platform, through Meta directly or an approved provider, is meant for messaging at scale.
Is a low quality rating the same as a ban?
No. On the WhatsApp Business Platform, a low quality rating is a warning based on how recipients reacted to your recent messages. If it stays low, your messaging limits can be affected and templates can be paused. It is recoverable by sending fewer, more relevant messages to people who opted in. A ban or account restriction is a separate enforcement action.
Will switching to the WhatsApp API prevent bans?
It removes the biggest risk, which is using an unofficial tool for bulk sending, and it gives you quality ratings and warnings before things escalate. It does not protect you from the consequences of messaging people who never agreed to hear from you. Opt-in and relevance still decide whether your number stays healthy.
